How much does a CRM cost: the real cost structure

Short answer: a B2B CRM licence typically runs €10 to €40 per user per month, and the first-year total budget is usually 1.5 to 2.5 times the licence value once implementation, data import and ERP integration are counted.

The gap between a cheap and an expensive quote rarely comes from feature count. It comes from what implementation includes and what stays on your team's plate.

Who this is for

  • Founders and CEOs budgeting a first CRM
  • Sales directors comparing two or three quotes
  • Companies with an existing ERP that want a CRM on top

The six cost components

  1. 1Per-user licences

The predictable part, billed monthly or yearly per active user. Check what counts as a user: some vendors bill read-only and back-office accounts too. CRMconnect plans start at €12 per user per month, with a 14-day trial and no card required.

  2. 2Add-on modules, not just seats

A modular CRM activates components separately: field sales (SFA), a B2B customer portal, stock/WMS, retail EDI, invoicing and e-invoicing. Budget the modules you need and ask for module pricing separately from seat pricing.

  3. 3Implementation and configuration

Process analysis, pipelines, role permissions, price lists and approval flows. Priced as a package based on departments and process complexity. This is what decides whether the project succeeds, so it is not where to economise.

  4. 4Data import and cleanup

Customers, contacts, order history, price lists. The technical import is cheap; cleaning duplicates and broken records is not, and skipping it compromises reporting from month one.

  5. 5ERP integration

With an existing ERP, API integration is a distinct cost line: master data, stock, prices, balances and documents in both directions. Charged once at implementation plus maintenance. A CRM that does not talk to the ERP moves the cost into manual re-entry hours.

  6. 6Internal hours and training

The line no quote contains: project team time, training hours and management attention in the first three months. In practice it is comparable to the first-year licence cost.

One-year example, 20 users

  • Licences: 20 × €18 × 12 ≈ €4,320
  • Implementation: €2,000-5,000 depending on departments
  • Data import and cleanup: €500-1,500
  • ERP integration: €1,500-4,000, one-off
  • Year-one total: roughly €8,500-15,000; year two drops to licences plus maintenance

Comparing two quotes properly

  • Ask for the 24-month total, not the monthly headline
  • Check whether ERP integration is included or billed separately
  • Ask what adding a new department costs
  • Ask for the data export terms at contract end

Häufige Fragen

How much does a CRM cost per month?+

For a B2B CRM, typically €10 to €40 per user per month depending on active modules. Base plans cover pipeline, contacts and activities; field sales, B2B portal, stock and EDI are added as modules.

Is a free CRM enough?+

Free tiers work for a small team with no operational needs. They fall short once you need live stock at quoting time, contract price lists, role permissions and an ERP connection.

How much is implementation?+

For a mid-sized company, €2,000 to €5,000 depending on departments, approval flows and data volume.

Is ERP integration billed separately?+

Yes - a distinct one-off project plus maintenance, priced by ERP and by the number of synchronised entities.

How fast does it pay back?+

Usually 4-9 months for teams above 10 sellers, provided daily use starts within the first two months.
