Chart of accounts - how to automate operational document mapping

In short

A chart of accounts is the structured list of all accounting accounts used by a company. CRMconnect does not perform full accounting, but it maps every item, partner, and document type to the correct account, ensuring exports to accounting software require no manual recoding.

Who searches for this and why

Accountants, CFOs, and entrepreneurs looking for account structures and practical ways to move operational documents to the correct accounts without manual work.

What "Chart of Accounts"

The chart of accounts is the master list of accounting accounts used by an entity, organised by classes and groups, where all economic operations are recorded. Every operational document - invoice, receipt, collection, payment - translates into debits and credits on accounts within this plan.

1

Why you should care about the chart of accounts even if you are not an accountant

Because it is the language through which accounting reads your business activity. If documents arrive without associated accounts, someone must manually code them at month-end - leading to delays and human errors.

  • Account classes for capital, fixed assets, inventory, third parties, treasury, expenses, and revenue.
  • Sub-accounts (analyticals) per customer, supplier, warehouse, or cost centre.
  • Operations must be mapped identically every time - otherwise, financial reports will not match.
2

How mapping works in CRMconnect

Mapping is configured once: item category to revenue or inventory account, partner type to third-party account, payment method to treasury account, and document type to journal entry templates. From then on, every document leaves the system with the accounts already populated.

  • Rules based on categories, with specific exceptions for individual items or partners.
  • Automated sub-accounts generated for partners or warehouses.
  • Pre-export validation: documents without mapping are flagged and blocked from export to prevent errors.
3

From mapping to reconciliation

Bank statements are automatically imported via PSD2 from European banks, collections are linked to invoices, and the resulting records already carry the correct treasury and customer accounts. The accountant receives a validated file instead of a pile of documents to code manually.
