credit note

Credit notes - how to correct an invoice already submitted for e-invoicing

In short

A credit note cancels an issued invoice, either fully or partially, using negative values or a correction document referencing the original. If the invoice has already reached the national tax authority, the credit note must also be transmitted via e-invoicing, explicitly referencing the corrected document.

Who searches for this and why

Billing managers and accountants who have issued an incorrect invoice - price, quantity, client, or tax - and need to correct it after it has already been transmitted to the national e-invoicing system.

What "Credit Note"

A credit note is a document used to cancel, fully or partially, a previously issued invoice. It contains the same elements as the original invoice but with negative values or as a correction document, and must explicitly reference the number and date of the document it corrects.

1

When to issue a credit note versus a correction invoice

The choice depends on the type of error, and the consequences are reflected in the VAT ledger and SAF-T reporting.

  • Invoice issued to the wrong client or duplicated: full credit note.
  • Incorrect quantity or price: partial credit note or correction invoice for the difference.
  • Returned goods: return document followed by a credit note on the returned lines.
  • Subsequent discounts granted: correction invoice, not a cancellation.
2

What changes after e-invoicing transmission

An invoice accepted by the national tax authority cannot be deleted. Corrections are made exclusively through a new document - a credit note or correction - which references the original invoice and is, in turn, transmitted to the national system. CRMconnect maintains the link between documents and tracks the status of both messages.

  • Automatic reference to the original invoice number and date.
  • Retransmission and status tracking within the national e-invoicing system.
  • Full correction history for internal control and SAF-T compliance.
3

Effect on payments and client balance

A credit note modifies the client balance and, consequently, the bank reconciliation. CRMconnect automatically recalculates the balance, adjusts already allocated payments, and exports the corrected documents with associated accounts to ERPs like SAP Business One or Microsoft Dynamics 365.
